The privacy policy for the register of Kipinä participants defines how personal data related to the Kipinä competition is processed.

3 Data subjects

The register includes personal data of persons participating in the Kipinä competition of Tekniikan Akateemiset ry (hereinafter referred to as “TEK”) and their supervisors.

4 The purpose and legal grounds for processing personal data

The processing of personal data is conducted for the organisation of TEK’s Kipinä competition, the awarding of prizes and grants, and the compilation of statistics. The purpose of the competition is to promote technology and science and to highlight these as fields of study.

The legal basis for processing personal data is the consent of the data subjects.

5 Content of the data file

TEK processes the following personal data on competitors and, when appliable, their supervisors and guardians:

- name and year of birth 

- school and hometown 

- banking and contact details of any person(s) to be awarded grants (collected for tax purposes) 

- contact details of competitors and their supervisors (email address and telephone number) 

- name and consent of a guardian for participants under the age of 18

6 Regular sources of information

Personal data is collected from the data subjects themselves.

7 Regular destinations of disclosed data  

Personal data may be transferred to TEK’s partners for the implementation of measures and services related to the Kipinä competition.

Data will be transferred to:

- Lyyti Oy

- Howspace workspace

Data will be disclosed to:

- relevant tax authorities (in the case of grants being awarded)

- organisers of the EUCYS competition (in the case of EUCYS representatives)

- other competition organisers (contact details of participants may be provided to enable their participation in other competitions)

8 Transfer of data out the EU or the EEA  

Personal data will not be transferred outside the European Union or the European Economic Area.

9 Storing period 

Personal data will be stored for 6 months from the end of the competition in Finland.

Email addresses of the contact persons who have subscribed to Kipinä’s newsletter will be stored in the register of contact details.

The number of participants and their hometowns and school/educational institutions will be stored for the purpose of compiling statistics related to the Kipinä event. Any data used to generate statistics will be anonymised.

Use and retention of data and files uploaded to the registration platform 

- A list of works awarded prizes at the final event will be stored in TEK’s electronic archive, which will include the name of the work and the participant, the name of the supervisor and the school. 

- All other materials and information uploaded to Kipinä’s registration platform will be deleted no later than September.

10 Data subjects’ rights

The data subjects have the right to object the processing of their personal data for the purposes of direct marketing. The data subject may agree or forbid TEK to send them thematic direct marketing materials.  

In addition, the data subjects have the right at any time and in accordance with the relevant legislation to: 

  • be informed on the processing of their personal data;
  • have access to their personal information and verify the correctness of the data concerning them and processed by TEK;
  • demand rectification of any inaccurate or incorrect information and to have incomplete data completed;
  • demand the erasure of their data;
  • withdraw their consent and object to the processing of their personal to the extent that the processing is legally based on the data subject’s consent;
  • object to the processing of their personal data on the grounds of their personal situation for the processing that is legally based on the benefit of TEK;
  • receive their information in a machine-readable format and have the right to transmit those data to another controller, providing that the data subject has provided the information to TEK themself, TEK is processing the information based on the data subject’s consent and the processing is conducted automatically; and
  • demand restricting the processing of their personal data.  

To the extent that processing is based on the data subject’s consent, the data subject has the right to withdraw their consent at any time.

The data subject must request the implementation of the abovementioned right via the means provided in this description’s Contact section. TEK has the right to request the data subject to specify their request in writing and to verify the identity of the data subject prior to processing the request. TEK can reject the requests on grounds provided in relevant legislation. 

11 The right to lodge a complaint with a supervisory authority

The data subjects have the right to lodge a complaint to the relevant supervisory authority, or to the supervisory authority of the EU member state where their place of residence or work is located, should the data subject deem that TEK has not processed their data in accordance with relevant legislation. 

12 Data protection

All personal data stored in digital form is saved to TEK’s information systems and processed securely. Access to these systems is given only to members of staff for whom it is required to carry out their duties. These persons use personal usernames and passwords.

All personal data is secured against external access, and the use of membership data is monitored. All data subjects are issued with their own personal usernames and passwords. All personal data sent outside TEK is encrypted. All workstations and data devices used by TEK are encrypted.

13 Contact

Requests concerning the exercising of data subjects’ rights, questions concerning this privacy statement and communications relating to any other matters must be sent to the data protection officer by email.

14 Amendments to this privacy statement

This privacy statement may be updated from time to time, for example in the event of legislative changes. This privacy statement was last updated on 12 December 2025.
